In this article, you will learn how to void claim in Remedly.
There are two types of Void:
1. "Void'' on claim summary - used when a claim was created by mistake or the insurance company has informed you that the claim was voided and you need to document that in RCM
2. "Void'' via Submit Correction - used when you want to inform insurance company that you are voiding the claim.
"Void'' on claim summary
If an insurance company notifies you that a claim has been voided, you can update your records by marking the claim as void, ensuring your system matches the insurance company's claim status.
Also, you can use this void if the claim was created by mistake.
To mark a claim as Void, navigate to the claim in RCM and click Void:
After you confirm voiding, the claim status will be updated.
Note:
Marking a claim as void is not possible if there are any payments or remittances connected to that claim. Check out how to un-link a claim from a remittance in section Unlinking Claims from a Remittance of this article.
However, it's not always necessary to take action outside of Remedly to notify a payor that you wish to void a claim. You can use the Submit Correction with a VOID correction code: the payor will know about your intention to void the claim via Remedly.
"Void'' via Submit Correction
"Void'' via ''Submit Correction'' is used to officially void a submitted claim by specifying the control number. This is necessary when the claim needs to be voided on insurance side after submission, often due to errors that require the claim to be retracted and corrected.
To "Void'' via Submit Correction:
1. Navigate to a claim and select "Edit Claim":
Note:
You can only edit claims that have a response from the payor or clearing house, e.g. claims in status "Remittance Received".
After you confirm, the claim status will change to "Not Resubmitted".
2. Then you can click Submit Correction and choose the appropriate option
- Electronic
- Electronic with Practice NPI
- Paper
Note:
If you choose "Electronic"/"Electronic with Practice NPI", submitting corrections will proceed digitally. If you choose "Paper", you'll have to print out the form and send it to the Payor.
3. Select Frequency Code "8 - VOID" and provide Claim Control Number and hit Submit.
If you received an ERA linked to the claim, the control number will be suggested in a drop-down list.
If there were multiple remittances from the payor, there might be different Claim Control Numbers. To find the one you need, you can view remittances linked to the claim in EOB/ERA Summary tab.
EOB/ERA Summary of a claim shows all remittances that refer to this claim. To void the claim, take the Claim Control Number of the latest remittance received.
Note:
If there are remittances linked to the claim which have payments recorded, the system will not allow you to void the claim. To do that, check out the Unlinking Claims from a Remittance section.
Claim status will change to Submitting - that reflects that you've sent a request for the payor to void the claim.
Once the payor confirms, the claim status will be updated.
Unlinking Claims from a Remittance
If there are payments made against the claim you want to void, you'll have to unlink those payments before voiding.
Note: If there is $0.00 payment remittance than you don't have to unlink it.
To do that, check if any of remittances in ERA/EOB Summary show "Insurance Paid" amount:
It means that there is a remittance which refers to this claim and has payments on it. Open the remittance by clicking on it's date:
Then, find your claim's number and click Remove to un-link it from the remittance.
This action removes the link between the claim and the remittance and the payment transactions from Billing ledger of the patient of the Claim. The payment is no longer considered as a payment towards chosen claim.
