Estimates allow you to provide your patients with a general assessment on procedure pricing so they can decide whether or not to move forward with the procedure. For example, let's say your patient is considering CoolSculpting as well as botox and fillers and wants to see how much money these procedures cost before making a decision. In this case, you can simply make a financial estimate template and save it until the patient makes a final decision.
The best part of this function is that you don't have to add every single line item once the patient comes back to the office to move forward with the procedure. It is quick and easy to navigate and it will improve your office work!
To Create an Estimate
There are two ways to convert an estimate to an invoice:
To create an estimate from Financial Dashboard follow the steps:
1. In your Remedly account, go to Financial and click Financial Dashboard, or simply click Financial Transactions on top of your Account Settings.
2. Drop down the blue button and click Estimate.
3. Type in the name of the patient you would like to create a new estimate for.
4. Add line items such as procedures and products and apply discount and tax if necessary.
5. Scroll down. Check the checkbox If you want the estimates to be visible in the patient portal. Then Create Estimate.
- You created a financial estimate. By pulling the template into an estimate, you don't have to add every single line item.
Note: it is advised to create estimates using the Financial Dashboard instead of using the Create Estimate button on an appointment. This button ties the estimate to that appointment, thus defeating estimate>procedure conversion calculations if the appointment is a consultation instead of a procedure.
The optimal workflow is to create the estimate from the Financial Dashboard then convert the estimate either to an invoice or to the procedure appointment, which will enable the estimate>procedure conversion calculation.
To create an invoice from the estimate in patient charts do the following:
1. Click Edit estimate in patient charts.
2. Then click Create invoice at the bottom of the estimate.
Share an Estimate with the Patient
You can share the estimate with the patient via the patient portal.
In order to do this in two ways:
1. Select the checkbox Send to patient portal while creating the invoice.
After that click Create Estimate.
2. If the estimate was already submitted go to the Edit mode from the individual patient history ...
...or from Financial -> Fee Estimates.
Click Send to patient portal button at the bottom to share the estimate with the patient.
When the estimate is delivered to the patient portal and visible to the patient, you'll see its status near the checkbox in the Edit mode.
In this status, the estimate can be also removed from the portal If you do not want it to be visible to the patient anymore. To do this click Remove from patient portal.
Note: It's not possible to remove the estimate from the patient portal once it was signed.
To Duplicate Fee Estimates
When creating a fee estimate for a patient, you now have the option of duplicating the estimate and edit the duplicate to reflect various fee combinations. This is helpful when creating multiple estimates for the same patient, making minor variations within each estimate, to show the patient different options efficiently.
In the Financial Dashboard, select Fee Estimates.
Find the estimate you want to duplicate. From the Action arrow, select Duplicate.
After editing the estimate to reflect the needed adjustments, select either Duplicate Estimate to save the new estimate or Add to Schedule to both save and schedule the new estimate.
Another way to duplicate estimates in from do it from the individual patient history. Open the individual patient history, go to Estimates -> Edit.
At the bottom there is now the option to duplicate the estimate.
Work with Estimates From Appointment Window
You can quickly access a list of all previous patient appointments and estimates associated with them by clicking See appointments and fee estimates in the appointment window.
A pop-up window with the appointment information will appear. From here you can access the pdf version of the estimates, edit estimates, and schedule appointments for an estimate.
To Create and Use Fee Estimate Templates
1. Click Fee Estimate Templates under Practice Account.
2. You will see a list of existing fee estimate templates.
3. Click the drop-down button to edit, duplicate, or delete the template you previously created.
Convert an Estimate into an Invoice or Appointment
1. Go to Financial and click Fee Estimates.
2. Click the drop-down icon and click Add to Schedule or Create Invoice if your patient is 100% sure moving forward with the procedure.
3. Remedly will automatically take you to New Invoices where you can record a payment.
- Look for a green indicator showing that an estimate has been invoiced.
When you choose to Add to Schedule you'll be redirected to an appointment window where you'll be able to schedule an appointment based on the estimate.
Archive an Estimate
If you want to archive an Estimate, use the Archive icon near the estimate in the Estimates section in the individual patient history.
Note that If the estimate was sent to the patient portal (no matter whether it was signed or not) and then archived, it won't disappear from the patient portal. It will be marked as archived.
To unarchive the estimate, click on the Unarchive icon.
Estimates Reports
Estimates without actions report
If you want to see which Estimates have not been scheduled or invoiced you can run an Estimates without actions report.
It's located in Reports -> Analysis Reports-> Graphical Analysis section -> Select report -> Appointments -> Fee Estimates without action.
You will get a list of Estimates without an invoice or an appointment linked.
