When a user is no longer with your practice, you will need to archive their account. This will block their access to the platform as well as remove them from user lists throughout the platform.
User accounts are not deleted from the platform since their information will be needed for reporting purposes.
Follow these steps in the order provided to archive a user account:
- Verify if the user has any future appointments
- Verify if the user has any future reminders
- Disable the user account for Self Scheduling
- Archive the user account
Verify User Account's Future Appointments
View the All Appointments report by following these steps:
Main Menu ->Reports ->Practice Analysis.
In Practice Analysis/Analysis Reports, choose the date range and location then click select Appointments->Other Reports-All Patient Appointments. Apply filters to view all appointments for the departing user.
If there are no future appointments for the user to be archived, you can proceed to the next step. If the user has future appointments assigned to them, reassign all future appointments to another user before proceeding to the next step.
Verify User Account's Future Reminders
Click the reminder list icon from the scheduler to view reminders for all users. Using the search tool, locate all reminders for the user to be archived. These reminders will be to be reassigned before proceeding to the next step.
Note: To quickly reassign all appointments and reminders in bulk, please contact support@remedly.com and provide the name of the staff member you want to archive. Once the appointments and reminders are reassigned, we will notify you to continue with the next steps.
If there are no future appointments or reminders, or if you received our update that all reminders and appointments have been reassigned in bulk, you can proceed to the next step.
Disable the User Account for Self Scheduling
Go to Practice Account -> Self Schedule -> Location Settings -> choose the provider name and disable the toggle button if it is enabled. Proceed to the final step.
Archive the User Account
Go to Practice Account -> User Accounts.
Locate the user to be archived and click the icon for their account.
Select Yes to confirm archiving the user account.
Refresh the page to see the user account as archived.
