How to Activate eFax
eFax can be activated at any time for your practice and additional fees apply. Reach out to your Customer Success Manager or support@remedly.com to learn more or start the enrollment process.
Share Patient Encounter Notes via eFax
If you have a signed encounter note that you want to share with another provider, follow the steps below.
1. Open a patient encounter, click More Actions and then select Send by fax.
2. A pop-up window will appear, where you need to input the following:
- Fax number (required field)
- Referring to - the name of the recipient (optional field)
- Message - an additional note for the recipient (optional field)
3. When you are ready, you can click Preview document to see the fax that the provider will receive. The document will open in a separate tab.
Send files from the local drive via eFax
You can find the ability to choose files for sending when you open the Fax tab in the header.
To send files follow the steps below.
1. Click Send Fax button.
2. A pop-up window will appear, where you need to input the following:
- Fax number (required field)
- Referring to - the name of the recipient (optional field)
- Message - an additional note for the recipient (optional field)
- Choose the file or more than one if needed for sending, following the rules:
- Accepted file formats are .doc, .docx, .xls, .xlsx, .ppt, .pptx, .vsd, .html, .mhtml, .pdf, .tif, .txt, .rtf, .jpg
- The attachment limit is 100.00 MB
- The maximum number of pages to send is 250
- Pay attention to the Fax-Friendly advice: documents should be black & white
3. Now you can send files via eFax by clicking the Send button.
Check Outgoing Faxes
All outgoing faxes can be located in the Fax tab in the header.
Click Sent button to check the faxes that were sent from your practice.
The list can be sorted by the sender, patient and the send date.
The list of outgoing faxes contains the following information about the faxes:
- To the phone number to which number the fax was sent.
- From the name of the user who sent the fax.
- Referring to the name of the recipient.
- Message additional note for the recipient.
- Status shows whether the fax was delivered or not.
If the status is Sent or Sending it means that there are no issues with sending the fax.
Failed status with error description shows that the fax was not delivered and provides the reason. - Patient shows a patient name from the encounter with link to the patient chart (if appropriate)
- Sent shows the date and time when the fax was sent.
To check the PDF of an outgoing Fax click, the 3 dots and then select View document.
The document will open in a separate tab.
You can always resend the fax by clicking the 3 dots and then selecting Resend option.
The fax will be resent to the recipient with the previously added message.
Check Incoming Faxes
When an incoming fax has been received but has not yet been read by the practice, a number will appear near the fax tab designating the number of unread faxes.
Click on the tab to view the list of all Received faxes.
The list can be sorted by patient's name, received date and status.
The list of incoming faxes contains the following information about each fax:
- From shows the fax number of the sender.
- Patient displays the name of the patient with the link to the patient chart. If a patient is not associated with the fax, it will show N/A.
- Received column shows the date and time the fax was received.
- Status informs you whether the fax was read or not.
Read status indicates that the fax has been opened.
Faxes that have already been read can be viewed in a separate tab, assigned to a patient or marked as unread. These options are available by clicking the 3 dots.
Unread says that the fax hasn't been opened yet.
Unread faxes can either be viewed in a separate tab or assigned to a patient.
Note: If the fax was assigned to a patient, you can change the patient assignment or unlink the patient from the fax. This is done from the same drop-down both for Read and Unread faxes.
Associate Incoming Faxes with Patients
You can associate incoming fax with the patient by clicking the 3 dots then Assign to patient.
A pop-up window will appear asking you to input the patient's name. Start typing the patient name to search your patient list and select the appropriate patient.
Then click Assign Fax to Patient.
The fax will be assigned to the patient and will be visible in patient charts in the Faxes section.
