View and Manage Memberships in the Patient Chart
Membership details can be accessed and managed in the patient chart for a comprehensive patient overview. Membership status can be adjusted as well from the patient chart.
Search for a patient and expand the Memberships category in the left-hand panel.
In this section, you can:
- see the Membership details in the following order:
- 1st column: status, Membership program name, enrollment duration, fee type
- 2nd column: enrollment period
- filter the memberships by status
- view or change the status of Memberships.
To access the ability to Pay for a patient's membership, go to the Enrolled Patients page, search for the patient, and select the Pay option. In the future, we plan to enable payment from the patient chart.
Discount Reason as 100%
In order to provide complimentary services, you can apply a 100% discount reason when selling treatments or products. Documenting a fully discounted item as a discount reason helps accounting categorize and track both the full and fully discounted prices.
For configuring Discount Reason, please follow these steps:
1. Go to the Practice Account > Discount Settings
2. Click on +New Discount
3. Enter the New Discount reason, select discount rate as 100%, then click Save.
4. Click on OK to dismiss the success message.
The new discount reason is saved in the list of Discount Settings.

Add Notes to Treatments and Inventory
For more thorough documentation of treatments and inventory, you can include notes associated with a treatment or inventory. The note will display in the Treatments Price List and the notes section of the associated appointment. Providing notes for treatments and inventory provides more insight for staff and ensures more accurate scheduling and patient communications.
Treatments
To add notes to a treatment, please follow these steps.
1. Go to the Practice Account > Treatment Setup
2. Search for the treatment you want to add the notes to, and click on Edit in the treatment line.
3. Scroll down to the desired location and click on the arrow next to it.
4. Scroll down to the Notes field, which is optional.
5. Input your notes and click Save.
The notes will display as follows:
- In all appointments scheduled for a treatment with notes, with the notes content displaying in the Notes field of the appointment:
- In the Treatment Price List from the Main Menu > Reports > Practice Analysis Reports (remember to complete steps 1-2) > step 3: Select report > Other Reports > Treatment Price list (PDF or CSV),
with the notes content displaying in the Notes column.
Inventory
To add notes to Inventory, please follow these steps:
1. Access the Inventory module from the main dashboard by clicking on the Show inventory icon.
2. Locate the desired inventory and click on the Edit icon.
3. Enter your notes in the Note field and Save changes.
We plan to include these notes with the inventory content in the Treatment Price List and will announce when this is available for usage.
Summary of All Notes includes all Chart Notes, Even if No Visit Reason
The following appointment types do not include the ability to designate Visit Reason:
- Virtual Consult
- Virtual Followup
- Phone Consult
Regardless of the Visit Reason not being identified, the Summary of All Notes will now include chart notes for the 3 appointment types identified above, in order to provide a more comprehensive patient overview.
When you commit or save a chart note for these 3 appointment type, it will appear in the list of Chart Notes.
The Show summary of all notes can be accessed from 3 locations:
- from the Individual Patient History or
- from the appointment
- and from a note.
The Summary of all notes will display the chart note with the Procedure column empty because a Visit Reason was not able to be designated for the appointment due to the appointment type.
To print all notes, click the Print All Notes button.
The notes are rendered as a PDF.
Quantity/Hours Included in the Commission Report
The Commission report includes both Quantity and Hours columns to provide more comprehensive metrics for analysis.
