Set Up Requirement
Each staff member who plans to provide virtual appointments will need to create their account on a web conferencing solution such as doxy.me or Zoom, both of which are HIPAA-compliant, or your preferred solution. Each user/staff account should have its own virtual room for meeting with patients.
Each staff member will need to share the unique URL for their virtual waiting room with you before you can proceed.
Configuring User’s Virtual Appointments
Navigate to User Accounts under Practice Account and edit the staff member who will be providing virtual appointments.
- Turn toggle Show Virtual Room to Yes.
- Input user’s unique virtual room URL from the chosen platform ensuring the full URL including https:// is displayed.
- Select Save and a pop up box will confirm your successful changes.
Once all of your staff members have been updated, you can turn on the virtual appointment types in Schedule Settings. Please reach out to support@remedly.com if you need help with this step.
Scheduling a Virtual Appointment
When scheduling a virtual appointment, the Appointment Type will now offer Virtual Consult and Virtual Followup. If selected, this user’s unique virtual room URL will be displayed.
Patients will now be able to request a virtual appointment via the patient portal.
Note: because virtual consults/follow ups do not have a Visit Reason field, patients will not receive consent forms for the appointment. Contact support@remedly.com for an alternative solution.
Delivering a Virtual Appointment
To start your virtual appointment, click on the web conferencing URL provided in the appointment to launch your web conferencing solution and follow their guidelines for video utilization. In some platforms this link may launch the patient login instead of the provider login, in which case proceed to the solution's website to login to your virtual room as the provider.
Your Chart Note will be identified as a virtual appointment.
The patient’s Engagement History will note the appointment as virtual.
Invoicing for a Virtual Appointment
You can charge for your virtual appointments by selecting Virtual Consult Fee or Virtual Follow Up Fee under Fee Category and manually inputting your fee.
If you want to pre-configure your Virtual Consult Fee or Virtual Follow Up Fee, navigate to Account Settings then Account Preferences to set your default virtual fees.
Note: the fee in Account Settings is set per provider. So this will be the price only for the online consultation and follow-up with this very provider.
