Improved Appointment Rescheduling Workflow
The recommended workflow for rescheduling an appointment is as follows:
Open the appointment you want to reschedule and click Create copy.
Choose the date and time for the new appointment. Remedly now allows you to mark the original appointment as Rescheduled by selecting Yes under the request to mark an original appointment as rescheduled. Then click Save. The status of the original appointment will change to Rescheduled and the new appointment window will open.
This rescheduling workflow provides the following benefits:
- The patient will receive all appointment confirmation communications for the new appointment.
- Reports can be run to see which patients are frequently rescheduling.
- The original appointment can be removed from displaying on the calendar by turning off the Rescheduled filter.
Adjust Treatment Pricing if Treatment is Used in Prepaid Package
If a treatment price is included as part of an active prepaid package, the treatment price cannot be adjusted. Trying to do so will cause the following error message:
In order to adjust pricing for a treatment which is part of an active prepaid package, follow these steps:
- Archive the prepaid package(s) using the treatment
- Go to Treatment Setup
- Adjust the treatment pricing in Treatment Setup
- Create new prepaid package(s) using the new pricing
Any prepaid packages previously sold using the original pricing and now archived are not affected by the treatment price change.
Engagement History Includes Provider Name for Appointments
For staff to quickly see which providers a patient has previously seen, Engagement History includes the provider name for each appointment.
Print a PDF of Before and After Photos
To share Before and After photos with patients as side-by-side comparison, a PDF can be generated with both images on a single sheet.
Note: all Before and After photos are automatically shared with the patient with HIPAA-compliance via the patient portal if Yes is selected via the interface option Share photos with patient?
Follow these instructions to generate the Before and After PDF:
1. Enter Full Screen mode for Before and After photos:
Two icons in the middle center enable portrait or landscape orientation for the PDF photos.
Portrait option opens a PDF with photos oriented one below the other.
Landscape option opens a PDF with photos oriented side by side.

Phone Number Required for Self-Scheduled Appointments
To ensure new patients who create a self-scheduled appointment input complete demographics, phone number field is a required field. This allows outreach to new patients via phone if needed.
Report Summarizing Outstanding Notes Needing Commitment
In order to see all staff who have patient encounter notes which have not yet been committed, generate the Reports That Need Approval under Standard Reports > Report of Notes.
Note: the report will include outstanding notes for appointments scheduled within the date range provided.
Sometimes there may be several names in the Which Staff has Active Dashboard Notification column. When a staff member creates a note, it is displayed in all Staffs' dashboards, causing the names of all staff members to be displayed in this column.
If a provider creates a note, it is displayed only on this provider's dashboard or whichever provider is assigned in the Approval By field.
All Appointments Report Includes Patient ID
Patient ID, a unique identifier for each patient, has been added to the All Appointments report.
The three most comprehensive reports now all include Patient ID:
- All Appointments report
- All Financial Transactions report
- All Patients report
Patient ID can be used as a unique identifier when concatenating these reports, enabling data across all three reports to be combined into a single report.

The following fields have been added to the All Financial Transactions report:
- Patient ID
- Discount Reason
- Treatment Category
- Parent Treatment
- Custom/Child Treatment
- Prepaid Redemption Amount in $

Discount Reason
Discount reason is applied when editing an invoice.
Treatment Category - Parent Treatment - Custom/Child Treatment
This is the organizational structure of treatments.
Prepaid Redemption Amount in $
This is the $ value of the portion of the prepaid package redeemed in the transaction, allowing for reporting on the $ value of each transaction.
Pending Option Added to Payments & Refunds Dashboard
For practices with integrated merchant services, sometimes transactions don't complete in Remedly for various reasons, such as connectivity drop or not having selected the Check Transaction Result button when running transactions.
When this happens, the payment will run through the merchant service but not through Remedly, causing patient's financials to be unbalanced with unpaid invoices. The transaction will display as completed in the merchant service dashboard.
To correct for this situation and complete the transaction within Remedly, follow these steps:
- Go to Payments & Refunds dashboard
- Locate the pending transaction using the new Pending option in the pull down menu
- Click the down arrow on the right for editing the transaction and select the Refresh Status option from the right side arrow.
