Create an Appointment in Calendar
In the calendar you will see the columns with the 15 minute time slots. Each column stands for a certain practitioner in a certain department. Grey time slot shows that the time is either already booked or outside the range of practitioner's working hours.
If scheduling an appointment for a time slot that is greyed out, a notification will display informing you that the time slot is not available once a service has been selected.
For convenience, the calendar shows the current time with the red line based on the time zone configured in your device.
In order to create an appointment for an open time slot, click on the corresponding time and provider in the calendar to generate an appointment.
Note: You can also click the plus icon in the upper-left corner of the calendar. You will however be required to fill in more fields (Department, Start Time, Practitioner).
The newly-generated appointment contains several relevant sections:
- Patient information
- Notifications
- Forms
- Appointment details
- Action buttons
To complete the appointment, input the following details for the appointment:
- Patient (required)
- Department (required)
- Practitioner (required)
- Date (required)
- Start Time (required)
- Appointment Mode (required)
- Services (required)
- Duration
- Rooms
- Consent Forms
- Note.
To input Patient, you can search for an existing patient or add a new patient.
If a patient has not yet verified their email address, a notification will display that the patient's email address is not confirmed. This is to prevent personal healthcare information to be sent to an incorrect email address. The red exclamation point next to the patient's email is another indicator that the patient's email is not confirmed.
If a patient has not yet completed their Medical History, a notification will display with this announcement.
To input Department, select or search for the correct department from the drop-down list provided.
To input Practitioner, select or search for the correct practitioner from the drop-down list provided to identify who will meet with the patient during this appointment.
To input Date, either type the date manually or click on the calendar icon to select the date in the pop-up calendar.
To input Start Time, click into the field to select the appropriate time from the list of options provided.
To input Appointment Mode, which is either In Person, Phone Call or Virtual, select from the drop-down list provided.

Note: If you choose a Virtual appointment, the corresponding practitioner must have provided a virtual room link. The link can also be added at Settings-> Practitioner Management -> Practitioner Roles -> choose provider and add the virtual room link.
To input Services, select from the drop-down list provided. The list will only include services that are activated for the selected practitioner.
To input appointment Duration, the auto-loaded duration based on the service selected can be adjusted by clicking on Set Custom Duration. The Custom Duration will be for this appointment only.
To input Room, select from the drop-down menu provided if desired.
If the selected service requires consent forms to be signed, they will automatically display within the appointment as well as whether or not they have been signed by the patient. Additional consent forms can be added to the appointment by clicking +Add.
A general Note concerning the appointment can be added and is accessible only within the EHR, it is not shared with the patient.
Once all fields have been addressed, click Create Appointment.
The appointment will appear in the calendar with the status Scheduled.
When the appointment is created, the patient will receive the appointment creation email with appointment details and an .ics file that will help the patient to add the appointment to the calendar with a click of a button.
Create a Time Block in Calendar
A time block in the calendar notifies everyone in the practice that appointments should not be scheduled for this period of time. To create a time block, click the clock icon on the corresponding practitioner's column.
A blocked time pop up will appear with the following information pre-filled:
- Department name
- Practitioner
- Date
You need to fill in:
- Start and end time
- Title
- Reason
Once all fields are completed, click Add.
The time block will be added to the calendar.
If you want to delete or edit the time block, just click on it and make the necessary changes in the pop-up window.
