How to Assign Prior Authorization Number to Bills
Assigning the Prior Authorization Number to the corresponding Bill(s) will enhance the accuracy of your billing and decrease on manual work. The Prior Authorization Number should be entered in the insurance details in the patient chart and it's possible to create a custom Prior Authorization.
When adding or editing a Prior Authorization Number, you can choose an existing Prior Authorization Number from the list of available numbers:
1. Open the desired Bill, choose a charge item you need to work on, and click on it.
2. Scroll down to the Bill Details and click on Edit.
3. From the drop-down box, choose the corresponding Prior Authorization Number for this bill. Then hit Save.
Note: if a corresponding Prior Authorization Number does not exist, you can create a custom Prior Authorization Number which will only exist in this Bill.
Just type your number in the Prior Authorization Number drop-down box, click + Add [number] as a customer item and Save.
You can also add a Prior Authorization Number from the Insurance Details in the Patient Profile.

Once saved, the linked Prior Authorization Number is visible within the Bill.
Once the Prior Authorization Number is linked to the Bill, the system will track the depletion of remaining visits across the system:
- in the Appointment:
- inside Insurance Information in the Patient Profile:
IMPORTANT: if the initial Prior Authorization Number has changed and a claim for the bill was previously created, void the claim and create a new one using the updated Prior Authorization Number.

- in the encounter when trying to sign or leave the page
- in patient chart when trying to leave the page
