Appointments Readiness Dashboard
Prepare smarter. Act faster. Deliver better patient experiences.
We’re excited to introduce the new Appointment Readiness Dashboard in the EHR - a centralized workspace that brings essential appointment, patient, forms, and financial information together in one place.
Instead of switching between multiple modules to prepare for visits, patient coordinators can quickly identify what needs attention and take action before the patient arrives.
The dashboard helps your practice:
- Improve appointment readiness: Identify incomplete forms, critical appointment notes, and other requirements before the visit.
- Increase collections: Review Patient Owes and Patient Credit to support proactive financial follow-up.
- Boost operational efficiency: Access essential patient and appointment information in a single workflow.
- Improve scheduling and patient retention: Identify patients without future appointments and support timely follow-up.
- Strengthen team collaboration: Give scheduling, billing, and clinical teams a shared view of appointment-related information.
The result: Less time spent searching for information, more time focused on patients and the tasks that matter most.
Additional dashboard capabilities, including Primary Insurance information, will be introduced in future releases.
How to Access the Appointments Readiness Dashboard
The dashboard displays appointments scheduled for today and future dates, including today’s appointments whose scheduled times have already passed.
To open the dashboard:
- In the EHR, locate the new To Do List menu next to the Fax link.
- Click To Do List to expand the menu.
- Select the nested Appointment Readiness link.
- The Appointment Readiness Dashboard opens with appointments listed in ascending order.
Take Action in One Place
Use the dashboard to quickly answer key questions before each visit:
- Which appointments need attention? Identify incomplete forms, specific labels, and critical appointment notes.
- Which patients have outstanding balances or credits? Review Patient Owes and Patient Credit to support financial follow-up.
- Which patients need scheduling follow-up? Identify active patients without future appointments.
- How can I prioritize my work? Use filtering and sorting to focus on the most relevant appointments.
- Where can I find more details? Click the main appointment, future appointment, or patient to access the relevant information.
Filter, Sort, and Search
The dashboard offers standard filters, quick filters, and Appointment ID search to help you find relevant appointments faster.
Standard Filters
Use standard filters to narrow the dashboard to the appointments that require your attention.
- Click Filters in the upper-right corner above the dashboard to expand the filter panel.
- Select the desired filter values.
- Click Apply to display the filtered results.
- To remove your filter selections, click Clear All, then Apply.
To hide the filter panel, click Filters again.
The Patient Owes filter helps you identify appointments for patients with outstanding balances above a specified amount.
Enter the target dollar amount and click Apply. The dashboard will display appointments for patients whose outstanding balance exceeds the entered amount.
Note: The filter applies only to patients whose appointments are included in the Appointment Readiness Dashboard. It does not display every patient in the system who owes the specified amount.
Quick Filters
Use quick filters to access commonly needed appointment groups with fewer steps:
- All appointments - all appointments included in the dashboard.
- Tomorrow - appointments scheduled for the following day.
- Forms Incomplete - appointments where the Forms Status is Not Completed.
- Patient Owes - appointments where Patient Owes is greater than $0.00.
Note: You can combine quick filters with standard filters for more targeted results.
Sort
Use the up and down arrows next to the following fields to sort appointments:
- Appointment ID
- Date, Time
- Mode
- Appointment Status
- Practitioner
- Patient
Additional sorting options will be introduced in future releases.
Search by Appointment ID
Use Appointment ID search to quickly locate a specific appointment on the dashboard.
Quickly Search For a State
We've enhanced the state selector across the system with a search option, so you can quickly find and select a state instead of scrolling through the list. This saves time when entering or updating state information.
Related Person: Gender is Now an Optional Field
The Gender field for Related Persons in Patient Contacts is now optional, aligning with current industry standards.
