Find Free Time Slots in Calendar
To enable medical staff to effortlessly locate available time slots for patient appointments, reducing wait times, minimizing scheduling conflicts, and ultimately improving the patient experience, we've developed the Find Free Time Slots feature.
The ability to find free time slots enables staff to quickly locate the next available appointment, minimizing patient wait times and improving access to care. It also helps to prevent double-booking and scheduling conflicts by providing a real-time view of available time slots for each practitioner.
Follow these steps to use this feature:
1) Open your practice calendar and click Free Time Slot
2) Select the Services desired.
Select preferred services in one appointment mode.
You can either search it by code or description...
or you can use the mode filter to see all available services and add it from here.
The selected services will appear on the right.
You can also set a custom duration for the chosen services.
If necessary, you can also remove a service from the selected list using the X button.
3) The next step is to select the Department.
You will see the list of the departments that provide chosen services.
You can either choose a specific department by clicking on it...
and the results will display on the right
OR you can search across all departments which is enabled by default.
If necessary, you can also remove a department from the selected list using the X button.
4) Select the preferred Practitioner for verifying available time slots.
Search across all practitioner roles is enabled by default.
The practitioner(s) will appear on the right.
If necessary, you can also remove a practitioner from the selected list using the X button.
5) Click Show Available Time Slot to display the available time slots based on your search criteria.
On the right you will see a summary of your search criteria.
The calendar will open by default to today's date and display the available time slots for search criteria.
You will be prevented from scheduling during time blocks and outside of practitioners' working hours.
If availability is greater than the amount of time needed for the service(s), the results will display start times based on 15 minutes intervals.
If there are no available time slots within the week, use the Find Next Available Slot to navigate to a week with next available slots.
Also you can switch between the weeks to schedule in the future.
Once you click on the desired start time, select the preferred option from the choices provided.
Note: throughout the process, you can edit your search criteria using the Back button and adjusting your selections.
6) Once you've identified your preferred choice, click Book Appointment to create the appointment.
Note: Once you click Book an appointment, it is no longer possible to edit your search criteria. Clicking Back in the browser will return you to step 1.
7) In the newly-created appointment, the pre-selected details will be auto-selected and you'll only need to add the patient and click Create Appointment.
Ability to Send Patient's Attachments via eFax
Sending patient attachments via eFax enables you to easily include supporting documents, such as lab results, encounters and medical history, with patient records.
You can upload any patient-related files from your computer into the Attachments module on the patient chart using the Add Attachment button.
You can then fax these uploaded files to the necessary recipients.
In order to send the file via eFax:
1) Locate the desired attachment
2) Click on the three dots to open the available actions
3) Click Send via eFax
4) Fill in the required information
5) Click Send
Sent faxes are stored in the Fax module under the Sent tab.
You can click on the related three dots to:
- preview the file you shared
- resend the file
